A handover record should connect the residence, the inspection observations and the agreed next steps. A checklist cannot establish technical compliance, contractual rights or the final acceptance conditions.

Prepare the documents before the inspection

Gather the dated residence plan, written specification, included items and proposed handover process. Identify the exact residence and the relevant contract provisions. Ask about access, attendance, required payments and how concerns will be recorded before treating an advertised completion date as permission to move in.

Look at the actual residence systematically

Work room by room and distinguish visible observations from specialist assessment. Record location, description and photographs where permitted. Do not infer structural safety, electrical compliance or waterproofing performance from a visual check alone; use appropriately qualified professionals where those questions need assessment.

  • Match room layout and included items with the dated specification.
  • Record visible finish damage and incomplete work by room.
  • Check doors, windows and accessible fittings where testing is permitted.
  • Record meter, key and access card details at the agreed stage.
  • Refer technical or safety concerns to a qualified inspector rather than marking them resolved.

Create an action record rather than an informal promise

Give each concern a clear location and reference. Ask who is responsible for the response, how it will be tracked and whether a further inspection is agreed. Keep the condition record, written explanations and completion evidence together rather than relying on a verbal assurance that every item will be fixed.

Separate receipt, acceptance and move arrangements

Confirm the meaning of each document you are asked to sign and the remaining conditions under your agreement. Check keys, access cards, meters and building move requirements.
